Contracts
The renewal you did not know you agreed to.
Almost every facility we audit has at least one service that renewed itself. Not because anyone was careless — because the notice window opened and closed while the building was busy doing something else.
How it happens
Four clauses worth reading twice.
Evergreen renewal
The agreement renews for another term automatically unless you give notice inside a specific window — often 60 or 90 days before the end date, and no earlier.
Rolled rates
If it does not renew, it does not necessarily stay cheap. Many agreements roll to list price month to month, which is frequently higher than the contracted rate.
Service-by-service dates
Phone, internet and TV rarely share an end date, so a facility can be free on one service and locked on another.
Termination liability
Leaving early usually means paying out the remaining term. Knowing the number changes whether waiting is worth it.
What to do
Get the dates on one page.
The single most valuable document in a facility’s telecom file is a list: every service, its carrier, its end date and its notice window. Almost nobody has one. We build it as part of the audit.
- Every service and carrier listed together
- End date and notice window for each
- Termination liability where it applies
- A reminder before each window opens
Questions
What operators ask us.
We think we are month to month. Is that good?
Often, yes — nothing is holding you. But month-to-month pricing is sometimes higher than a contracted rate, so it is worth checking whether committing would cost less.
Can you get us out of a contract early?
Sometimes. If a carrier is not meeting its obligations we will push hard on your behalf. Where the term is simply running, we will tell you what leaving would cost rather than pretend otherwise.
Who tracks the dates afterwards?
We do, and you get the list. The point is that the next renewal is a decision rather than a surprise.
Does this apply to TV and internet too?
Especially TV. Bulk TV agreements are the ones we most often find renewing unnoticed.
