Bill auditing

What a nursing home phone bill audit actually finds.

Facility phone bills are rarely one bill. They are a main line contract, a handful of analog lines, a fax line, a TV agreement and an internet circuit — often from four carriers, signed in different years, by people who have since left.

How it works

Four steps, and you only do the first.

You send the bills, or sign a letter that lets us request them from the carriers. From there it is our work, and it costs nothing whether or not you switch.

The findings

Six things we find in nearly every facility.

None of these are exotic. They are what happens when a building runs for fifteen years and nobody re-reads the paperwork.

  • Lines nobody can account for

An analog line that once served a fax in the business office, or a modem for a system replaced in 2016. It still bills every month because nothing ever tells the carrier to stop.

  • Rates that rolled past their term

A three-year agreement that ended in 2022 and has been renewing month to month at list price ever since.

  • Equipment rental long after the equipment left

Rented handsets, a router that was replaced, a PRI card for a system that has been decommissioned.

  • The same service bought twice

Common in groups: the corporate office buys a service centrally while individual buildings buy their own version of it.

  • Taxes and surcharges on services you no longer have

Regulatory fees follow the line item. Remove the line and the fees go with it.

  • A TV agreement nobody owns

Bulk TV renews quietly. The person who signed it has often left, and the channel lineup no longer matches what residents want.

Questions

What operators ask us.

Does the audit cost anything?

No. We read the bills and produce the findings whether or not you buy anything from us. It is how we start every healthcare relationship.

Do we have to switch carriers?

No. Plenty of audits end with us renegotiating what you already have, or simply cancelling services you stopped using. Switching is a separate decision.

How long does it take?

Reading the bills takes a few days once we have them. Getting the bills from a carrier can take longer, which is why we ask for a letter of authorization up front.

What do you need from us?

The most recent full invoice for each service, any contracts you can find, and someone who can walk a technician around the building for the wiring survey.

What if we are still in contract?

We map the end dates and the notice periods first. Cancelling into a term usually costs more than waiting, and we will tell you when waiting is the right answer.
